All PABXSoft reports can be scheduled to e-mail and/or print on
a once only, daily, daily except weekends, weekly or monthly basis.
Example
The Destination Summary report image above shows that the Report
will run from Monday 8th August to Friday 12th August (British Date
format demonstrated) including data for extensions 201 to 220. Next
the 'Schedule button is clicked.

The report is scheduled to 'Start' on Friday the 12th August with
a weekly frequency. Using these settings the reports will be automatically
produced each Friday at 5pm and e-mailed to 'manager@hq.com'.
There
is only a single 'time of day' option that applies to all scheduled
reports. If you change the time of day for one scheduled report
it will be applied to all other scheduled reports.
Each user of PABXSoft reports can set up their own schedule.
All scheduled reports can be reviewed (and deleted) by either
clicking the active scheduler icon in the system tray (a book symbol)

or else by selecting 'Edit Current Schedule' from within PABXsoft
Reports/Schedule menu.
To delete a scheduled report, click on the arrow facing the report
you want to delete. This will select the line, then press 'Delete'
on your keyboard. It is not possible to 'Edit' an existing report.
You will need to delete it and re-create a new scheduled report.

Technical specification
The e-mail function in the latest version of PABXSoft uses SMTP
protocol to automatically determine the SMTP mail sender address
and port based on the registry settings for the computer. The computer
must have an active e-mail account established. Earlier versions
of PABXSoft used the Microsoft MAPI application to e-mail reports.

Using
Outlook - Security issues
With Outlook and Outlook Express in particular, there are potential
security issues associated with using Scheduled reports. These mail
programs designed to block or put up a warning message if a third
- party software program attempts to send mail. This is easily turned
off in Outlook Express, but the solution for Outlook 2000, 2003, 2004
is to download a utility that will automatically click 'Yes' to the
warning message. Click either of these two links to access further

Viewing
e-mailed Scheduled Reports
The reports are created in 'Crystal Reports' format with an .rpt extension.
Unless you have Crystal Reports installed you will not be able to
view the reports without using the PABXSoft 'Viewer' utility. This
utility is installed with PABXSoft Reports and recent upgrades to
the program are available on this web site. If the person wishing
to view the e-mailed reports is not using PABXSoft Reports already,
then they need to install PABXSoft Reports in order to gain access
to the viewer utility. There are no licensing implications here as
even if the person using the viewer is off-site and has not got a
PABXSoft license, they may still use the Viewer program.
To use the Viewer, first ensure you have the latest
upgrade installed. We recommend you place a shortcut to the Viewer
on your desktop. Then drag and drop the e-mailed report onto the shortcut.
Alternatively you may open the Viewer program by double-clicking,
then File and Open, browse to the location of the e-mailed reports
and double-click it.
Re-booting your computer
A shortcut to the Scheduler program should be added to the Windows
start-up programs of the computer generating the e-mailed reports.
To do this, browse to C:\Program files\PABXSoft\Reports and right-click
'Reports Scheduler.exe' and left click on 'Create Shortcut'
Then locate the shortcut created in that folder (Shortcut to Reports
Scheduler ) right-click it and left click on CUT.
Then right-click on the START button, and then Explore, and
click on Programs under the highlighted 'Start Menu' folder, then
click on 'Start up' and in the right hand window, right-click and
PASTE.
