PABXSoft Hotel/Motel functions

The Hotel/Motel features are available in our 'Premium' version only.

Setting up PABXSoft for Hotel/Motel
In Maintenance>Extensions and Departments>Department names create at least two Departments.
We recommend one called 'Admin' for the office extensions, and another called 'Guests'
Next go to Department Members and add the relevant telephone extensions to each Department.

In Maintenance>Modify Call Costs>Local and Long Distance click on the Import button (bottom left) and then Hotel.
This will automatically change all the call rates to what Hotels typically charge.
If you don't like these rates then either adjust each one in turn, or use the Wizard to help you. (Wizard is recommended as it is less likely you will make a mistake and it's faster!)

In PABXSoft Hotel the Table 2 costing rates are used to costs calls for guests so make sure you enter the rates there, not just Table 1. (Table 1 is intended for your true costs so that you can run a profit report, Cost Comparison report in Line Menu, to see how much money you are making !!)

After setting Local and Long Distance rates open Call Cost International. Normally a uniform rate applies in Hotels for International calls to any country. This is easy enough to do. Click the 'Global Change' button, then the 'Rate Change' button. Enter a rate in each box. The rate should be the PER MINUTE rate including tax shown in the highest currency value of your country.

e.g. If you want to enter 80 cents per minute then enter 0.80, or if you want 50p then enter 0.5 not 50.
Then click Update and OK the next couple of message boxes. Then click Cancel to take you back to the 'Global Change' box. If you want a connection charge on top of the the per minute charge enter it here.

You can now launch the Hotel screen from the Features menu. It is much easier to create a desktop shortcut to the Hotel screen. Go to C:\Program Files\PABXSoft\Reports and right-click PABXHotel.exe and Send to Desktop.You then don't need to open the main PABXSoft Reports screen again.

When you first launch the Hotel screen, click on the Setup button and enter the name and address details you want to appear on the top of the printed guest bill when they check-out. Also select the 'Guests' department in the drop down box.

We don't get often get questions about how to use the Hotel screen. It's pretty self explanatory but please use the Contact Form opposite if you have any questions.

Trouble-Shooting
The Call Collector is responsible for collecting data from the telephone system. It must be running 24 x 7. If people log in or out of the PC running Call Collector then we urge you to run the Windows Service version of Call Collector.
